Operations Coordinator - St Marys Church, Selly Oak

Background 

St Mary’s is a growing church with a commitment to inclusion and diversity. We seek to support the growth of the church by setting up systems and practices that can be run by a Parish Administrator.
           
Purpose of Role
Working within the overall vision of the church, the key purpose of the Operations Coordinator is to:
•    Set up systems and infrastructure that a Parish Administrator will be able to take over.
•    Advertise and recruit a Parish Administrator on behalf of the Incumbent and PCC.
•    Explore additional sources of revenue to support the mission of the parish.

The post holder will build and maintain positive working relations with:
a)    The Vicar and other members of the ministry team;
b)    The church wardens, PCC, and volunteers in the parish;
c)    The Church of England Birmingham diocesan structures and churches oversight area.

The role will be line managed by the Incumbent, Priest-in-Charge or Church Wardens in a vacancy.

Key Responsibilities (indicative timing)
Month 1 
•    Ascertain and purchase infrastructure needs: hardware, software, email, accounting system, database systems, phone. Arrange set-up.
•    Set up on-line database systems including GDPR-compliant contact list.
•    Set up church annual diary.

Month 2
•    Collect records kept by clergy and others. Establish filing system where necessary.
•    Facilitate the recruitment of the Parish Administrator on behalf of the Incumbent and PCC by drafting detailed job description and advertisement, and responding to enquiries.
•    Explore additional sources of revenue to support the mission of the parish.


Month 3
•    Sort and clear current files; arrange for shredding and disposal.
•    Arrange interviews for Parish Administrator. Set up appointee with diocesan payroll bureau.
•    Train appointee in relevant systems etc.


Person Specification

Essential Requirements 
•    Experience of working as a Parish Administrator, or similar role
•    Experience of setting up new systems, alone or with guidance
•    Knowledge of HR procedures, health and safety, risk management
•    Relevant IT skills
•    Good interpersonal and communication skills
•    Able to work on own initiative and to know when to consult others
•    Able to manage own time
•    Be in sympathy with the Christian vision and values of the Church

Desirable Requirements
•    Experience of fund-raising in a church or charity context
•    Knowledge and understanding of the Church of England and the complexities of church and community engagement.

Terms & Conditions 
Location: St Mary’s Church, 925 Bristol Road, Selly Oak, Birmingham B29 6ND
Salary: £27,000 p.a. pro rata
Pension: Auto Enrolment Pension Scheme 
Hours: This is a part-time post working 12 hours per week for a fixed term of 3 months. 
(For the right candidate we can be flexible about the length of the post and the hours worked per week.)
Holiday: Holiday of pro-rata 5 weeks per year, and bank holidays.
