Parish Administrator - St. Mary’s Church, Temple Balsall

In 1674 Lady Katherine Leveson established a Foundation to teach children and care for older people within a Christian context. Over 300 years later this work continues, moving forward in faith into the 21st Century. Temple Balsall is a thriving Christian Community committed to offering hospitality to all who find their way here. The community at Temple Balsall provides supported housing and residential care for up to 45 older people, a Church of England sponsored primary school and a vibrant and ancient church, together with a range of related charitable and research activities. The Vicar holds the ancient title of The Master of The Foundation.

Role Overview

To provide a high standard of administration for the mission, ministry and day to day functioning of St Mary the Virgin, Temple Balsall.

To work collaboratively with clergy, staff and volunteers, to ensure the office is welcoming and represents the very best of St. Mary’s Church.

Job Title :                                       Parish Administrator

Reports to :                                  The Vicar, Rev’d Debbie Collins

Place of Work:                            Parish Office for St. Mary’s Church, Temple Balsall

Salary:                                            Salary: £7,600 per annum for 12 hours/week

Hours of work:                           12 hours a week – some flexibility in the pattern of working will be required.

Benefits:                                        Pension, employer contributions @4%.

Purpose of Role

The Parish Administrator is responsible to the vicar and provides essential administrative assistance for the Parish.

Key Relationships

  • Vicar and Vicar’s PA
  • Church Wardens, PCC members, Secretary and Treasurer.
  • Foundation Governors
  • Volunteers with an assigned church role and the wider church community.

Main Responsibilities

  1. Administrative Support:
    • Serve as the first point of contact for visitors, handling enquiries via phone, post, and email.
    • Prepare weekly pew sheet and additional news sheets.
    • Set up the space for internal church meetings (e.g. committee meetings, PCC meetings, Safeguarding meetings) as requested by the vicar and / or wardens.
    • Ensure efficient office operations by managing supplies and stationery for the church and its activities.
    • Maintain Excel databases for parish groups and general parish database.
    • Co-ordinate with the Bishop’s office when necessary.
  2. Church buildings
    • Manage church and Old Hall bookings, ensuring that the relevant contracts are entered into, and risk assessments are up to date.
    • Create invoices for all Old Hall bookings for the finance team and ensuring that deposits are paid on time.
    • Promote bookings of the Old Hall and work with the team to ensure rates are consistent and adhered to.
    • Assist in preparing the church for events / activities / festivals as requested by the church wardens and vicar. 
  3. Communication and Publicity:
    • Maintain church communications, including producing newsletters and updating the website (with training).
    • Support the PCC Secretary in preparation of paperwork for the Annual Parochial Church Meeting (APCM).
  4. Sacramental Records and Legal Compliance:
    • Maintain accurate records for Baptisms, Weddings, and Funerals.
    • Liaise with Vicar’s PA who assists with the contact of wedding couples and funeral directors.
    • Handle Birmingham Diocesan Fees and reporting.
    • Collaborate with Church Wardens and the PCC Treasurer to fulfil obligations.
  5. Records and rotas:
    • Maintain the church electoral roll and liaise with the church electoral roll officer.
    • Ensure GDPR compliance.
    • Prepare and circulate rotas.
    • Keep the church calendar up to date (Microsoft 365)
  6. Other responsibilities
  • Setting up for meetings taking place in the Old Hall.
